Presently, the UN-IOM Islamabad is on the lookout for suitable candidates for their vacant position i.e. Admin Clerk to join their team.
JOB Description: Admin Clerk
Established in 1951, and operational in Pakistan since 1981, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, inter-governmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
The Displacement Tracking Matrix (DTM) is a system to track and monitor displacement and population mobility, and is designed to regularly and systematically capture, process and disseminate information providing a better understanding of the movements and evolving needs of displaced populations, whether on-site or enroute. In recent years DTM has become increasingly recognized as the primary source of displacement and migration data and information sources at country, regional and global levels. As a result of its worldwide presence, flexibility, and interoperability, DTM is now being implemented in Pakistan.
One of the core functions of DTM is data collection targeting various types of mobile populations and communities living with them through various methods such as face-to-face and/or telephonic interviews. Several enumerators and field coordination assistants will be assigned to conduct data collection and coordinate the effort at the field level. In order to have smooth and well-coordinated and resourced implementation, IOM requires Administrative Clerks to assist in the provision of administrative support for both in-house and field operations.
Under the direct and overall supervision of the of Programme Manager (DTM), the Administrative Clerk (DTM) will be responsible for the following duties:
RESPONSIBILITIES AND ACCOUNTABILITIES:
- Assist in providing administrative support for both in-house and field operations.
- Assist in collaboration with finance, procurement, OSS, and other relevant support units to ensure efficient program and procurement/logistics support for DTM activities.
- Assist in maintaining proper documentation and filing of administrative and financial project documents and data collection forms.
- Assist in the preparation of purchase requests, TPC staff payrolls, and payment requests while ensuring the confidentiality of files and operations.
- Assist in making/generating travel requests, bookings, and related logistics.
- Assist in monitoring payroll payment requests for DTM and double-check that they are processed appropriately.
- Assist in drafting NFF (note for file) when required.
- Assist in maintaining and monitor an inventory database, including asset and non-asset items, and support procurement processes.
- Provide administrative support to meet deadlines and assist in the evaluation of field activities when necessary.
