Currently, the Nai Zindagi Islamabad is seeking for Director Administration to fill their vacant position.
Job Description: Director Administration
The Director Administration is expected and required to:
- Provide coaching and guidance to ensure maximum efficiency.
- Ensure the smooth and adequate flow of information within the organization.
- Monitor costs and expenses to assist in administrative budget preparation.
- Oversee facilities services and repair & maintenance of machinery/equipment.
- Oversee all the insurance claims of office vehicles, theft or accidental cases and correspond with CoPC sites and SRs site offices for necessary documents.
- Responsible for In-house/ outside workshop, training and meeting arrangements.
- Liaison between PR & SR office regarding requests for repair and maintenance of assets.
- Reconcile inter-office vouchers to confirm the accuracy of accounts.
- Verify that claims submitted by the employee are according to the travel policy and ensure that the advance taken by the employee is appropriately adjusted against expenses.
- Undertake all the work related to the purchase of furniture, fixtures, office equipment, air conditioners, etc.
- Maintain PRF (Purchase Request Form), RFQs are raised for all the goods procured & GRN (Good Received Notes) maintained for all purchases.
- Prepare bids tabulation and ensure quality and quantity of goods before receiving and checking invoices from the suppliers and initiating payment requests.
- Negotiate contracts with suppliers & perform cost analyses and suggesting areas for improvement.
- Preparation & issuance of Purchase orders to suppliers.
- To propose the list of Tenderers and Suppliers.
- Maintain and monitor the key inventory system, record storage, and custodial supply inventory.
- Arrange logistics and distribution of supplies/items procured under the Global Fund Grant to selected Sub-Recipients in selected cities Via Warehouse.
- Making decisions with minimal guidance in accordance with policies and established procedures.
- Having experience in administrative operations, process improvements and management.
- Ability to lead and manage a team, providing direction, support, and fostering a collaborative work environment.
- Overseeing administrative operations, including facilities management, office supplies procurement, vendor management, and travel coordination.
- Budget development and financial management, including expense tracking, cost analysis, and resource allocation.
- Knowledge of contract negotiation, vendor selection, and management to ensure compliance, cost-effectiveness, and service delivery.
- Excellent verbal and written communication skills to effectively interact with internal and external stakeholders, including senior management, staff, and external partners.
- Analyze complex issues, make informed decisions, and implement effective solutions in a timely manner.
- Strong collaboration skills to work effectively with cross-functional teams, senior leadership, and external stakeholders.
