Currently, the Muslim Aid International Islamabad is seeking for Programme Development / Institutional Funding Coordinator-PDIF to fill their vacant position
JOB Description: Programme Development / Institutional Funding Coordinator-PDIF
The details of the role mainly consist of 5 clusters of responsibilities described in the below section:
Development and Review of Funding Strategy
- Devise, operationalize and review (every six months) the Country Funding Strategy, as necessary, in line with internal processes and within the framework of approved Country Programme Strategy (2019-2024).
- Undertake Donor Mapping and analysis of the local funding market in the light of approved Country Programme Strategy.
- Support the roll out of the agreed funding plan (in light of Funding Strategy) and realize planned targets in close coordination and collaboration with Programme Team.
Networking and Coordination
- To support CD and Head of Programme in establishing contacts, interaction, and partnerships with the bi-lateral, multilateral and institutional donors as well as government funding institutions, corporates and philanthropists either for funding or strategic partnerships.
- Undertake donor mapping and opportunity log on Quarterly basis to identify bi-lateral, multilateral, and institutional donors as well as government institutions, corporates and philanthropists compatible with organizational mandate.
- Identify and establish communication with local gatekeepers at bi-lateral, multilateral, and institutional donors as well as government institutions and corporate level.
- Prepare, revise and update “Talking Points Sheet (TiPS)” for CD and Programme Team for each of the identified stakeholders.
Programme Development:
- Facilitate the process of “Programme Development” supported by Programme Team.
- Supervise preparation of monthly “Opportunity Log” including its circulation and subsequent coordination processes to ensure that bid plans are prepared well in time for each desired opportunity.
- Coordinate the whole range of business processes for the preparation of high-quality funding proposals and tender dossiers.
- Giving input in short-term funding proposals prepared by the Programme Team to ensure that MA’s investment is leveraged and invested in the broader Programme development trajectories (no one-off and/or standalone funding).
- Provide technical backstopping to the working groups/s of consortium members including consultants (if any) when they are working on developing concept notes and proposals/tenders.
- Closely work with M&E/Knowledge and Communication team members to help/assist them in preparation of “plug & play” modules of innovative M&E, value for money, project evaluation and communication/visibility frameworks/strategies, etc. for upcoming donor proposals/tenders.
Donor Relationship Management:
- Establish and operationalize “Donor Relationship Management Framework” and perform role of custodian of the donor relationships.
- Implement and review “Donor Relationship Management Framework” in the light of Country Funding Strategy.
- Identify and supervise development of communication materials in coordination with the Programme and Communications Team.
- Supervise and support creating web-dust of positive examples of MA’s work in Pakistan.
- Ensure participation of relevant Programme Team members in the public seminars of the donors and I/NGOs on their Programme priorities.
Performance Management and Capacity Building:
- Build capacity of Programme Team and implementing partners on proposal writing, preparation of tenders, report writing and donor compliances.
- Set performance targets, monitor performance, and appraise the direct reports in line with the Human Resources Policy and other organizational policies and procedures.
- Hold formal monthly 1-2-1 meetings with all direct reports and provide/receive honest and open feedback about quality of work and other issues for improvement of performance.
- Ensure capacity assessment of the Programme Team and implementing partners about their capacity building needs related with institutional funding and its management.
- Include capacity building initiatives (mainly related to the Programme development and fund raising/management) in proposals to the donors (where possible).
Internal and External Donor Reporting:
- Organize processes and schedules for timely, high-quality reporting, establishing a clear understanding of donor reporting requirements among staff.
- Draft and edit programmatic reports for the donor and other partners and stakeholders.
Others:
- Temporarily take over leadership responsibilities as and when assigned by the line manager.
- Undertake visits to CO field Offices and Partners’ offices.
- Maintain up-to-date knowledge of effective approaches and developments in own area of work, and consistently apply these in the performance of the role.
- Proactively promote and implement equality of opportunities and diversity across the CO operations, and initiatives to improve staff wellbeing.
- Maintained and stored all records in hard and soft copy formats in line with the internal data management and IT policies.
- Comply with all policies, procedures, legal and regulatory requirements.

- Perform any other duties commensurate with the accountabilities of the post.
