JOB Description: Advisor Reporting and Coordination
General Position Summary:
This position will assist the Program Director TB in ensuring effective and efficient coordination of program activities internally and with Sub-Recipients (SRs), as well as timely and accurate reporting to the donor, while closely working with Senior Technical Advisor. S/he will coordinate with all components leads of TB program, finance and operations for developing Progress Update and Disbursement Reports (PUDRs) and Management Letters for SRs. S/he will facilitate LFA reviews and will assist in the preparation of Country Coordination Mechanism (CCM) meetings, Inter-Provincial Meetings, meeting with Provincial TB Control Program (PTPs) and other high-level meetings. S/he will be overall responsible for ensuring the quality implementation of all components of the TB program.
Essential Job Responsibilities
- Ensure effective and efficient coordination of all program related activities internally and with SRs
- Work closely with component leads to ensure accurate and timely reporting to the donor
- Coordinate with all components leads of TB program, finance and operations for developing Progress Update and Disbursement Reports (PUDRs)
- Support Program Director in developing and sharing Management Letters with SRs on quarterly basis and follow-up with SRs for timely response on the letter as well as on addressing identified issues.
- Act as a focal person for all LFA and CCM visits, ensure smooth coordination with SRs for timely preparation of the visits, accompany the visits as and when required and organize a de-brief with component leads under the leadership of Program Director and in close coordination with Senior Technical Advisor.
- Facilitate Program Director and Senior Technical Advisor in preparation for inter-provincial meetings and other high-level meetings, ensure timely preparation of presentation and any other technical documents required for these meetings in coordination with component leads and data management team.
- Coordinate with all SRs to provide timely support in the implementation as and when required
- Work closely with M&E team and component leads to ensure the implementation of action plans developed for each SR based on the field visit/desk review findings.
- Participate in progress review meetings of MC offices and will provide them with technical support in program implementation as with the support of component leads as and when required in coordination with Senior Technical Advisor.
- Ensure timely submission of monthly work plans of each component and MC offices in Lahore, Quetta and Hyderabad to the Program Director and Senior Technical Advisor and follow-up with them on the progress will be another responsibility of this position.
- Assist in budget revisions/reprogramming.
- Work closely with Finance and component leads to develop quarterly BVAs and forecasts, monitor monthly expenses of each component, and communicate overspends and underspends to respective leads, and ensure that expenses are incurred under the budgets and prepare summary for Program Director.
- Conduct regular program review meetings, document their minutes and follow up on decisions with relevant team members
- Conduct periodic field visits to provide supportive supervision to SRs in the implementation of all components of TB program as and when required
