Currently, the HelpAge International Islamabad is searching for candidate for their vacant position i.e. Project Support Officer to join their team
JOB Description: Project Support Officer
The Project Support Officer will work under the supervision of the Emergency Coordinator at the humanitarian program. Essential duties and responsibilities include the following, other duties, responsibilities, and activities may change or be assigned at any time.
Roles and Responsibilities
- Support the EC by reviewing and verifying all the partners’ payment requests and processes.
- Assist the EC in processes of beneficiary’s payment.
- Support the EC by Preparation of monthly expenses table with high accuracy and cash forecast.
- Support the EC by Reviewing of partners periodic financial reports to ensure consistency with budget and contractual agreement. Report any deviations and work with the partner to resolve identified discrepancies.
- Assist the EC by ensuring that the financial, administrative and documentation processes meet audit and donor requirements, and maintain key related documentation for grants/contracts, MOUs, Teaming Agreements, and other relevant documents.
- Support the EC by contract management of all contracts (Procurement, HR, Service Contracts etc) under the Project.
- Manage the compilation, consolidation and analysis of relevant data related to the project(s).
- Support the EC in progressing Engagements and Amendments through the project.
- Support the EC by ensuring that all procurement processes are in line with HAI Procurement policies.
- Support in all the Tenders documentation and process and follow up with procurement department.
- Assist the EC in the preparation of project completion reports and ensure compliance with contractual obligations.
Safeguarding Responsibilities
- Preventing harm and abuse from our people, operations and programmes to anyone that encounters our work.
- Report all safeguarding incidents they see, hear, hear about or suspect, using our internal reporting mechanism.
- Complying with all safeguarding framework policies and practices.
- Completing mandatory training courses relating to our safeguarding policy framework and comply with HR vetting procedures.
- Reducing the risk of harm and abuse in the field.
- Involving communities in the design of programmes and complaint response mechanisms, be responsible for implementation and review.
- Attending specialist field training on safeguarding as required.
- Maintaining maps of support services for survivors.
- Receiving and responding to complainants/survivors and ensuring that no further harm is done, following a survivor-centred approach, using the principles of psychological first aid, and signposting to relevant local services as needed. Reporting all safeguarding incidents, they become
- aware of.
